Know who has signed, and who is holding things up.
Sending a document for signature is only half the job. Knowing who has opened it, who has signed and who is holding things up is what keeps work moving. Here is how to follow an envelope from the moment it leaves to the moment it is complete.
Your dashboard
The dashboard gives you one view of every document you have sent. At a glance you can see which envelopes are complete, which are waiting and which need your attention. Filter by status, search by a recipient's name or email address, and sort by date. When a recipient signs, the change shows straight away.
What each status means
- Draft: the document is being prepared and has not been sent to anyone.
- Sent: the signing invitation has gone to the recipient by email.
- Delivered: the invitation email was delivered to the recipient's address.
- Viewed: the recipient has opened the document.
- Signed: the recipient has completed their part.
- Completed: everyone has signed and the final signed PDF is ready to download.
- Declined: a recipient chose not to sign, and can give a reason.
- Expired: the signing deadline passed before every signature was collected.
Emails that keep you posted
You do not need to keep checking the dashboard. SignAndGo emails you at the moments that matter:
- When a recipient views your document.
- When a recipient signs.
- When everyone has signed and the envelope is complete.
- When a recipient declines to sign.
- When a document is about to expire.
Reminders for the people still outstanding
Reminders can go out automatically at the interval you choose while a signature is outstanding, so recipients are nudged without being flooded. You can also send a reminder by hand from the envelope at any time. A status is a good guide to what to do next:
- Sent but never viewed: check the email address on the envelope before reminding anyone.
- Viewed but not signed: a reminder with a short personal note usually does it.
- Declined: read the reason on the envelope, fix the document and send a fresh one.
The audit trail
Every action on an envelope is recorded in its audit trail, so there is a clear record of who did what and when. For a simple one-signer envelope, the trail reads something like this:
- Envelope created by you, with the document uploaded and the recipient added.
- Sent to the recipient, with the signing invitation delivered by email.
- Viewed by the recipient, with the time and IP address.
- Signed by the recipient, with the time and IP address.
- Envelope completed, with the final signed PDF generated.
The completed envelope keeps the signed document, the audit trail and the completion certificate together, so you can find all three in one place later.
Frequently asked questions
- How do I check whether someone has signed?
- Open the envelope on your dashboard. Each recipient shows their own status, such as sent, delivered, viewed, signed or declined, and you also get an email when each one signs.
- Can reminders go out automatically?
- Yes. Set them when you send and they go to anyone still outstanding at the interval you chose. You can also send one by hand from the envelope.
- What does the audit trail record?
- Each event on the envelope, including when it was created, sent, viewed, signed and completed, with names, email addresses, times and IP addresses.
- What is the difference between signed and completed?
- Signed means one recipient has finished their part. Completed means everyone on the envelope has signed and the final PDF is ready.
